I am environmentally conscious, so I was really glad when I found out about the Nextiva Fax service. One of the biggest annoyances at the office I work in is that we waste a lot of paper. We were able to execute this well, and in a year's time, were able to reduce the usage of paper cups by more than 70%! This is such a big drop in expenses, and more savings to the company.
So, when I brought up the issue of paperless fax, I was given the challenge on how to work it out. This became my next objective: to start getting more and more people to use paperless fax service. Another big expense at the office was using paper by the ream. This is actually our biggest paper expense, but when you look at how much paper gets retained for further use, versus paper that is used for printing, and are discarded immediately after, you would see that the ratio of reused paper is very low. Again came the challenge to reduce the use of paper for the office.
One of the biggest waste of paper was when one received fax. Many people still like using fax over email, because they would be able to immediately print it out. I looked into the Nextiva Fax service that they were offering, and found that you can easily connect your computer unit to receive fax, and open it through a Microsoft office document. This seemed like a quick way of receiving files, and faster than going through the internet for the service.
I banked on the idea of Nextiva Fax service, and tried to implement it on a select group of people. We took out the fax machines on a floor, and encouraged everyone to use the Nextiva Fax service. After a month, we were able to reduce the usage of paper by 30% on that floor! The new method was proven successful and received minimal complaints on the change in work process.
